General Meeting - February, 2005
RMMS meeting 2-21-05: attending, Brian E., Ray Mc C.,Dewey A., Molly Mc N., Eric B., Farin W., Jim W.
Dewey has agreed to chair the meetings pending someone volunteering to take the president's chair and he and Farin will set the agendas and line up speakers when available; meanwhile Brian is continuing to help with other presidential duties, an arrangement which will continue on a month to month basis. RMMS priorities were decided to most importantly be boosting membership and especially recreating the CU chapter. We will determine what it will take to reinstate our lapsed 501c(3) status and if it's fairly easy to do then renew it.
Re: the CU chapter---recruiting all the engineering and hard science programs through use of (free Buff) e-mail blasts and bulletins, related student professional organizations and brief 10-15' presentations to any interested groups (perhaps using the Ares or other short CD or PowerPoint presentations). Since Molly, Farin and Dewey are students they have access to student organization privileges and benefits through the university. We're looking for a big push to help with having the conference here this summer, which lead to the main topic of the evening.
The Mars Society conference from 8-11th through 14th will be hosted by CU and implicitly RMMS. Tam Czarnik has graciously forwarded many of his notes from previous conference organizing as did Maggie Zubrin. Maggie and Patty will be doing the distance organizing with James Kilgore as an assistant and we will need to provide numerous bodies for a large variety of chores and assists. The following needs, ideas and brainstorms are bulleted below.
- Web page development with links for conference info and local eateries, hotels etc.. could use previous websites as template. Possibly use the page as site for signing up and organizing volunteers?
- Ray's building and conference rooms could be made available for free with enough advance notice.
- We need many donated items for auctions including hard goods, services , artwork and whatever else we can get for free.
- Five moderators per day (one per room) to facilitate time-keeping and coordination for each track of the afternoon breakout sessions.
- People to set up chairs and tables and help with AV as needed.
- Volunteers to work the registration/info tables for the conference.
- AV boss to coordinate overall services for presentations (though CU staff may handle this--should have a backup).
- Coordinator for volunteers with names, available times, and especially phone numbers. Plan on a 10% attrition and/or no-show rate and staff accordingly.
- Spare projectors and laptop-- who would have and how to contact said person.
- Use of walkie-talkies and/or cell phones for cross-building communications and coordination of volunteers and their placements.
RMMS has 400+ names on their mailing list-- how can we contact and 'encourage' their participation in this conference? Possibly a night meeting time/activity for near and far RMMSers to get to know each other and do some future planning post conference.
- Bodies and more bodies--preferably alive as well as pleasant and cheerful.
